Resolution for the North Carolina Notary Journal

A journal in general tells a story. When it comes to a Notary Journal, it tells a story about the person the notary is notarizing for. It covers the details of their name that is typed on their state or federal issued identification, the identification number, the issued date, expiration date, who printed it, residential address and we may add their birthdate as an "fyi" for future opportunities. If we as notaries do our due-diligence we can also ensure that we add more details about the location and address where we met the customer(s) and anything that may be helpful later if there's a need to recall the particular notarization. An example would be, if you met a person and you smelled alcohol or other substance around them. If they appeared to be rushed or anxious. If they were very talkative or other behaviors that could be calm or aggressive. 

Did you know that in our state of North Carolina, we are supposed to keep a Notary Journal for 10 years before we shred it? You may also scan copies to have an electronic record to avoid the collection of so many journals in your notary journey as you archive them. One of my phrases is, "Be ready. Before you have to get ready." Although, the North Carolina General Statutes do not require us to have a journal, as a good notary practice, invest in a notary journal and record every notarial act anyway. This can protect you and those that we serve. 

Every notary journal I've ever purchased had similar features, however, they have been lacking a few things that I feel that other notaries that are starting out can benefit from. It has taken a few years for me to move in the direction of creating a layout that works better for our state specifically.

How many of you have a journal that does not include a thumbprint option? How many have a journal that only has one area for a witness on the same page as the principal signer? How many of you remember the oath and affirmation by heart to say to a customer that has presented a jurat to be notarized? How many of you do not have enough space in the "notes" section when you write down details that may be very helpful later on that you may need to refer back to? Please leave your comments below, because I can only imagine how many of you may have wondered the same things.

When purchasing a notary journal rather it be from the NNA or Amazon, many creators have attempted to cover all states so we have just a basic outline to use. As a notary for North Carolina, we've invested time and money to become commissioned. When we gather our tools to work along with what it is that we are governed to do very well at, why not have the best quality of resources in hand?

I have created a layout that covers everything that can help all notaries stay on track when meeting a customer. What does it mean to you if you had a guide that covers the oath/affirmation that must be given when a customer has a jurat that needs to be notarized? What does it mean to you if you had a guide to ensure you covered everything you must have to fully execute the notarial act prior to you placing your stamp? These are the questions I'd asked myself and created this based on what is currently out here in the notary world with my additional needs of what I felt would be helpful for someone starting out. I pray that this layout resolves a solution for anyone that has asked these questions along their notary journey.
